The Departure List in the departures overview gives you full control over each individual departure. By opening a single departure, you can view all passenger information, manage assignments, update the departure status, send messages, access the ticket scanner, and handle any last-minute changes.
This allows you to manage each departure directly from the list, making it easy to review details, take action, and keep your operations running smoothly throughout the day.
Accessing departure lists
Click on "Operations" and then click on "Departures"
Departure list features
Each departure is categorized by Start time, Product title, Passengers, Notes, Status, Assignment template and Actions.
Opening a departure list.
To open up a departure list, click on the arrow in front of it
The departure is categorized by Pickup Place, Pax count, Reference, Customer, Booking Forms, Notes, Seller, Rate, Payment, Resource, Status and Actions.
For each departure you can see the total number of passengers and next to it is the total number of different ticket types, for example total number of adults and total number of children.
You can also see if passengers have signed the booking forms added to the product, red booking forms are unsigned, green are signed. Click on the booking form to view the answers.
Click on the drop down to view the answers
and the "X" to close the preview of the booking form.
You can also assign a resource to the tour from the departure overview. Click on the Resource drop down and choose a resource.
There is also an Actions drop down where you can add Notes, Send Messages, Export responses, Change Status, Manage Assignments, Open Ticket Scanner, View Departure, View Product Settings, View Booking Forms, Download Paxlist and Print Paxlist.
Notes
When you click on notes under actions, you can add a internal note or departure note.
Type the note you want to add into the text field box.
And then click on "Save".
A pop up appears -"Internal note has been updated successfully", then you can click on "close" or the "X" at the top right of the popup window to close the internal note pop up.
And now the note icon by the departure has turned blue - to highlight that there is an internal note on it.
Send Message
It´s possible to Send Messages to all passengers by clicking on "Send Messages" and choose E-mail, SMS or WhatsApp (if you have connected WhatsApp with PaxFlow).
To send a message to the entire departure, choose what kind of message you want to send - here we are clicking on "E-mail"
Choose a template to send out, here we are selecting "Tomorrows tour is on"
Once you have selected a template click on "Modify message" to continue.
Now you can modify the template if needed - if not click on "Review Recipients & Send"
To send the message click on " Send"
A success message appears and you have sent out the messages - you can click on "View log" to see the message logs.
in the message logs you can click on the arrow in front of a sent out message to see to who the messages were sent.
Export responses.
If there is a booking form assigned to the product you can export all booking form answers by clicking on "Actions" and "Export responses" then click on "All Responses" and you can choose the format to export - like "csv" for excel file
Change Departure Status
Let´s change the status of the departure, click on "Change Status"
A pop up opens up, click on the drop down by "change status" and choose the status you want to change to -here we are choosing "Confirmed"
You can add an Internal note, Public reason for status change and Departure note, here we have added all and are adding a hyperlink to the departure note
once you are ready to change the status, click on "Change Status"
A success message appears and you have successfully changed the status.
Manage Assignments
To manage the assignments on the tour, click on "Manage Assignments"
If the assignment template has not been filled out, you can do that by clicking on the elements on the template and assign a matching element - here we are assigning a driver.
once the template is completely filled out it will become green and you can close it.
Ticket Scanner
You can also access our Ticket Scanner from the departure list, simply click on "Open Ticket Scanner"
If you have assigned a resource to the tour you can select it in the resources dropdown.
And then you can start scanning with the Ticket Scanner.
View Departure
If you click on View Departure it will open up the passenger list.
On the passenger list view you can see at the top Product name,date, start time, total pax number,arrival status, Resources assigned and status of the tour.
Then there are tabs with the Passenger list, Assignments on the tour, Notes, Chat (WhatsApp chat) Sent Messages, Documents and Overview.
You can also quicky book another passenger in the passenger list overview by clicking the "Add new Booking"
Then a quick book option opens up - it will only open up on departures that have not started or are within the booking cutoff time on your products.
View Product Settings
You can easily go to the Product settings for each departure by clicking "Actions" and click on "View Product Settings"
And in the Product Settings you can adjust all settings as needed.
View Booking Forms
To take a look at all your booking forms, click on "View Booking Forms"
and then you will be transferred to the booking forms overview.
Download Pax list
To download the passenger list, click on "Download PaxList"
Print Pax list
Do print the passenger list, click on "Print PaxList"
