Assigning resources to departures ensures tours run smoothly, passengers are properly accommodated, and available vehicles or equipment are used efficiently. It helps streamline operations and avoid overbooking or resource conflicts.
Accessing Daily Departures
Start off by clicking on "Departures" and then click on "Daily departures"
Assigning a Resource to a departure.
Under Daily Departures choose the departure you want to assign the resource to and click on the drop down under "Resource"
Choose the resource you want to assign to the departure - here we are choosing "Tour Ship" since this is a Whale Watching tour. This adds the resource on a departure level to the tour.
It´s also possible to add a resource on a activity level - click on the plus by the product code to open up the passenger list.
You can select all the passengers by clicking the checkbox by pickup place
Click on the "Select resource to assign" dropdown to select a resource
Here we are choosing "City Bus 1"
And then click on the plus icon highlighted to add the resource to the passengers.
A success message will appear and you have added the resource to the passengers selected.
Assigning Resource in Departure Details
Click on the product code by te departure you want to assign the resource to.
Click on the "Select resource" drop down
and choose the resource you want to add to the departure.
It´s also possible to add a resource on a activity level - click the checkbox by the activates you want to assign a resource to
Click on the "Select resource to assign" dropdown to select a resource
Here we are choosing "Crazy Bus 2"
And then click on the plus icon highlighted to add the resource to the passengers.
The selected resource does not have enough spaces for the selected passengers - so we need to move one booking, click on the drop down under resources
and choose another resource
You can sort the passenger list by assigned resources by clicking on "Resource"
And then click on the empty checkboxes to assign a resource to them
Click on the "Select resource to assign" dropdown to select a resource
Here we are choosing "City Bus 1"
And then click on the plus icon highlighted to add the resource to the passengers.
A success message will appear and you have added the resource to the passengers selected.
Changing the resource selection
We have added seats for 77 passengers when there are 43 passengers booked - lets change to one resource on activity level.
Click the checkbox by pickup place to select all passengers.
Click on the "Select resource to assign" dropdown to select a resource
And choose "Crazy Bus 2"
And then click on the plus icon highlighted to add the resource to the passengers.
A success message will appear and you have added the resource to the passengers selected.
Then click on the "X" by City Bus 1 to remove it from the departure
and click on "Yes" to confirm the removal
A success message will appear and you have removed the resource from the departure
And now you have 57 seats available
