Assignment Templates

Assignment templates make it easy to set up assignments consistently across your tours. Instead of setting everything up manually each time, templates let you define group sizes, staff roles, buffers, and labels ahead of time, saving you time and keeping things consistent across products and start times. Below, you’ll see how to create and manage assignment templates so they fit the needs of each tour and help your day-to-day operations run more smoothly.


​Accessing Assignment Templates

Start off by clicking on "Settings" and then click on "Products"

Click on the product code of the tour you want to add the assignment template to

Click on "Assignments"

Creating a new Assignment Template

Click on "Add Template"

And fill out the assignment template - add name and choose start times - you can have a template for each start time or even multiple templates for each product.

here we have selected both start times.

Capacity rules

You can "Group by resource" - then the template will need to have a resource configured

or use "Group with fixed limits"

and then you can adjust "Max Group Size" field to limit how many passengers can be in one group.

Here the "Max Group Size" has been set to 15.

Adding Staff

Next click on "Add Staff"

and choose the staff position you want to add to the template - you can add multiple staff positions. Here "Guide" is chosen.

Adding buffer time

You can add a "Pre-tour buffer (min)" by typing the minutes in the field.

And also "Post-tour buffer (min)" by typing the minutes in the field.

By adding this buffer you will add these minutes to the shift that is created for the staff members.

Adding Labels

Next click on "Add Label" to add labels to the template. You can add multiple labels to the template, you can add language skills, certificates, special skills or locations to name a few.

Once you have added one label click on "Add Label" again to add another one. Click here to learn how to create labels.

Once you are happy with your template click on "Create Template"

A success message "Template created successfully" appears and you can see your new template.

You can always "Expand" the template to view or edit it.

and click on "Collapse" to close it.

when you click the three dots highlighted you can "Duplicate" or "Delete" the template.
