Assign resources for departures

In this article will we go over everything which is needed for assigning resources to a departure.

Our example "East Coast Tour" is an excursion tour which can either be a booking with pickup and drop-off or customers can show up at a central meeting point.

The first thing we need to do is to assign a tour resource for the departure. In our example the tour has 30 passengers whom all have a pick up place assigned to their booking. We need to assign a resource, in this case a vehicle, for the tour and optionally we can add extra vehicles to assist with the pick up operation if needed.

Assigning a resource for the tour

From the Passenger List click on the "Assign for tour" action placed 3rd from the left on the departure task bar above the passenger list. The icon of this action may differ depending on the type of resource type normally assigned for this departure.

When we click on the action we are taken to the resource manager in PaxFlow, an "Add resource" modal window opens up with all the data about the tour per-filled. The pre-filled data includes:

  • Assignment type is: Tour

  • Date: The date of the selected tour

  • Departure: The tour departure including start time and title of the tour

Tour assignments are a combination of a vehicle resource, driver and/or guide.

To assign a resource for the tour we must select:

• An available vehicle from the Vehicle dropdown

• A driver from the Driver dropdown

• An guide from the Guide dropdown

If our tour has only one guide who is both navigating and informing the group, we can either select the same staff member as "Driver" and "Guide" or leave the Guide field empty.

We can add as many as many resources as needed by clicking on the green "Add" button.

We can optionally add "Comments" that are visible in the Resource manager. 

We can also choose to create a "Repeat" assignments if we want to schedule the same resource for this tour in the future. 

Finally we click the Save button to save the tour assignment.

After saving the tour assignment the modal window will close and we we will se the assignment and resource schedule in the Resource manager.

The resources assigned are now also visible on the Departure in the passenger list as well as information about the assigned Driver and Guide.

If more resources are needed for the tour you can always click on the "Assign for tour" action on the departure tool bar.

Assign a resource for pickup and/or drop off

We can now go ahead and assign additional resources if we need them i.e. for pick up and drop of. This can be done by clicking on the "Assign for pickup" action icon from the Departure tool bar, the second icon from the left on the departure toolbar.

We follow the same steps as before and choose the type of assignment we want to create the timeframe for the assignment, vehicle and a driver.

Once the resources have been assigned to the departure (tour, pick up, drop-off assignments) the next step is to assign passengers to the vehicles.
