PaxFlow Labels let tour operators create and manage tags that describe key operational attributes across tours, resources, and staff. Labels make it easy to organize, filter, search, and prepare for automation within the system.

Operators can create labels under predefined categories such as:

  • Location (e.g., “Barcelona”)

  • Certification (e.g., “Driver’s Licence”)

  • Language (e.g., “English”, “Spanish”)

  • Resource Type (e.g., “Guide”, “Bus Tour”)

  • Capability (skills or competencies)

  • Restriction (limitations like vehicle size or availability)

  • Other (custom labels)

Each label includes a color and category tag for quick visual recognition. Users can browse, search, and add labels using the “Create New Label” button.



Accessing Labels

Click on "Settings" and then click on "Labels"


All Labels Overview

Then you can see the Labels overview. There are 7 types of labels you can create, Location, Certification, Language, Resource Type, Capability, Restriction and Other.

You can click on the label type to expand it

When accessing labels, you will view them in compact view

you can switch to detailed view by clicking the highlighted icon.

The Labels are sorted by the type of label - let´s take a look at them, click on Location to view labels under Location

Location

Use these labels to show where your tours, staff, or resources are based or operate.
They make it simple to find everything connected to a specific place — like all tours happening in “Barcelona” or all guides working out of “Reykjavík.”
Examples: Barcelona, Lisbon, Paris, Reykjavik
Use it for: Filtering tours or assigning staff by location.

Certification

Add certification labels to highlight official qualifications your team or vehicles have.
This helps make sure only certified staff or resources are booked for the right jobs.
Examples: Driver’s Licence, First Aid, Tour Guide Permit
Use it for: Matching certified guides or drivers to specific tours.

Language

Language labels show which languages your team members speak or which tours are available in certain languages.
They make it easy to match the right guide to the right group.
Examples: English, Spanish, German, French
Use it for: Assigning a Spanish-speaking guide to a Spanish-language tour.

Resource Type

These labels tell you what kind of resource something is — whether it’s a person, vehicle, or type of tour.
It’s a handy way to group and filter all your assets.
Examples: Guide, Driver, Bus, Boat Tour
Use it for: Viewing only guides or vehicles when scheduling resources.

Capability

Capability labels are great for showing skills or special strengths your team members have.
They help you find the right person for a particular type of tour or guest group.
Examples: Hiking Expert, Family-Friendly, VIP Service, Photography Skills
Use it for: Assigning the perfect guide for a special experience.

Restriction

Restrictions are used to mark limitations or special conditions — so nothing slips through the cracks when scheduling.
They help prevent issues like assigning a vehicle that’s too large for a certain route or a guide who isn’t available for night shifts.
Examples: Max 10 Passengers, No Night Tours, Limited Accessibility
Use it for: Avoiding scheduling or routing conflicts.

Other

This is your “catch-all” category — perfect for custom tags that don’t fit anywhere else.
Use it to keep track of anything unique to your operation.
Examples: Seasonal Staff, Partner Resource, Special Event, Internal Training
Use it for: Tagging special projects or temporary resources.

Click on "All Labels" to go back

Editing Labels

You can edit a label by clicking on "Edit" on the label type

Here we can add description to this label

And let´s add a bus icon to this label as well.

Once you are happy with your changes click on "Update Label"

A success message will appear and you have finished editing your label.

Create a new Label

To create a new label click on "Create New Label"

And create the new label - click here for a more detailed article on how to create a new label. Click on "Labels" to go back.

To view the labels on your resources click on "Resource Management" and then click on "Resources"

You can add new location label on the Resources overview by clicking on the highlighted plus.

Choose the location you want, here we are clicking on "Reykjavík"

And then click on "Save" to save the location on the resource.

View/Add Labels on individual resource.

Click on "Actions" and then click on "View Resource"

In the bottom right corner click on "Edit Labels"

To add labels to the resource, click on it - here we are clicking on "Highland bus"

Let´s also add "Bus Tours"

And then click on "Save Changes"

A success message will appear and you can see the added labels on the left bottom of the page.

Add a location label to a product

You can also add a location label on products, click on "Products"

Click on the highlighted plus under Locations

Click on the drop down and choose the location - here we are choosing "Reykavík"

And then click on "Save"

A success message will appear and you can see the added label under location.
