Departure notes

Written by PaxFlow Customer Support

Each departure has two notes. The staff note is for your team and your guides. The passenger note is for the passengers on the departure, who read it on their booking in PaxPortal.

Add or edit departure notes

  1. Go to Operations > Departures.

  2. Click the gear icon on the departure. A menu opens.

  3. Click Edit notes. The Departure notes window opens.

The Edit notes item in the gear menu of a departure on the Daily departures page.
  4. Under Staff note, enter the note for your team. Under Passenger note, enter the note for passengers. The preview on the right shows what Guides and staff see and what Passengers see.

The Departure notes window with the staff note, the passenger note and the preview.
  5. Click Save changes. PaxFlow shows Departure notes saved and closes the window.

You can also open the window with the note icon on the departure card, or with the icon in the Notes column in Table view. The icon is filled when the departure has notes.

To remove a note, delete its text and click Save changes.

Note: If you close the window with unsaved changes, PaxFlow asks you to choose Keep editing or Discard and close.

Add a link, an image, or a video

Each note has a toolbar. Use it to format the text, or to add a link, an image, or a YouTube video.

The link, image and video buttons in the note toolbar.
  1. To add a link, click the link icon, enter the web address, and click the arrow button.

  2. To add an image, click the image icon. Enter the image address and click Insert. Or click Select an Image to upload a file from your device. PaxFlow shows Image loaded. Click Insert to add it. Then click Insert.

  3. To add a video, click the YouTube icon, enter the address in YouTube URL, and click Insert.

The window for adding a YouTube video.
  4. Click Save changes.

Note: A note can be up to 300 KB, images included. If a note is larger, PaxFlow asks you to remove or shrink images.

See the notes from the product

A product can have its own staff note and passenger note. Every departure of the product shows the product note first, with a From product label, and then its own note. To write a product note, see Product Settings.

The preview shows the product notes above the departure notes.

To hide a product note on one departure:

  1. Open Edit notes on the departure.

  2. Turn off Show the product note above the staff note or Show the product note above the passenger note. The preview no longer shows the product note.

The switch that shows the product note above the passenger note, turned off.
  3. Click Save changes.

Note: A switch only shows when the product has that note. It hides the product note on this departure only.

Where departure notes show

  • Departure Brief, at the top of the Departures page: the staff notes of all departures on the day. Passenger notes do not show here. See Departure Brief.

  • Departure page: click the product name of a departure on the Departures page, then click the Notes tab. The tab shows both notes, and you can edit them there. On this tab, the staff note is called Departure Operation Note (internal) and the passenger note is called PaxPortal Departure Note.

  • Operations Calendar: put the pointer on the note icon of a departure to read its notes. See Operations Calendar.

  • Enroute: guides see both notes on the departure, under Departure Notes, and can add or edit them there. See Schedule.

  • PaxPortal: passengers see the passenger note on their booking. They never see the staff note.
