Booking Form Submissions report

See how many booking forms were submitted by period, form, product, and channel, and export the numbers.

The Booking Form Submissions report shows how many booking forms were submitted in a period. Use it to compare forms, products, and booking channels, and to export the numbers to a CSV file.

Open the Booking Form Submissions report

  1. Go to Reports > Booking Form Submissions.

The report shows the submissions from 1 January of this year to today.

What the report shows

Some submissions are for one activity of a booking. The report calls these activity-level submissions. Other submissions are for the whole booking. The report calls these booking-level submissions.

At the top of the report, tiles show the main numbers for the period:

  • Total: the number of submissions in the period.

  • Avg per day, Avg per week, or Avg per month: the total divided by the number of days, weeks, or months in the chart.

  • Peak period: the day, week, or month with the most submissions. The tile shows the number and the date.

  • Change vs previous period: the change in percent from the period of the same length just before your period. Previous shows the total of that earlier period. If the earlier period has no submissions, the tile shows a dash.

  • Avg days submitted before departure: the average number of days between the submission date and the departure date. This tile counts only activity-level submissions that came in on or before the departure date. If the period has no such submissions, the tile is not shown.

The chart under the tiles has one bar for each day, week, or month. To see the number for a bar, put the pointer on the bar.

Below the chart, tables show the same submissions in different groups. Each table has a Submissions column, a Share column with the percent of the total, and a Total row.

If the period has no submissions, the report shows No submissions in this period.

Change the period

  1. To select the dates, click the date range. Select the first day and the last day. A period can have a maximum of 366 days.

  2. To use a set period, click Presets. Select Last week, This week, Previous Month, Current Month, Previous Year, or Current Year.

  3. To group the submissions, click Days, Weeks, or Months. The chart and the By period table show one row for each day, week, or month.

When you change the period, the report selects the groups for the length of the period. A period of up to one week shows days. A period of up to one month shows weeks. A longer period shows months.

Count by submission date or departure date

The report puts each submission on a date. Next to Date by, you select which date:

  • Submission date: the day that the form was submitted. The report uses this date when you open it.

  • Departure date: the departure date of the activity. A booking-level submission has no departure date, so the report uses its submission date.

  1. Next to Date by, click Departure date. The tiles, the chart, and the tables show the submissions for the departures in the period.

Filter by booking form or product

  1. To show only some forms, click Booking form. Select one or more forms.

  2. To show only some products, click Product. Select one or more products.

The report updates to show the submissions that match. Booking-level submissions have no product, so a product filter removes them from the report. A message under the filters tells you this.

To remove your filters, click Clear. If no submission matches, the report shows No submissions match these filters. Click Clear filters to remove the filters.

Split the chart by booking form

  1. Click the Stack by form switch. Each bar shows one color for each booking form.

The five forms with the most submissions each get a color. The other forms are together in Other. The names of the forms are under the chart. When you put the pointer on a bar, a box shows the number for each form and the total.

Stack by form is not shown when the Booking form filter has exactly one form.

See the totals by form, product, or channel

  1. Below the chart, click a tab:

    • By period: one row for each day, week, or month.

    • By form: one row for each booking form.

    • By product: one row for each product. Booking-level (no product) is the row for booking-level submissions. Unknown product is the row for activity-level submissions when PaxFlow cannot find the product of the activity.

    • By form & product: one row for each booking form and product together.

    • By channel: one row for each booking channel of the bookings. Unknown is the row for bookings with no channel.

The tables use the same period, filters, and Date by setting as the chart.

Export the report

  1. Set the period, the filters, and Date by.

  2. To download the chart data, click Download CSV. The file has one row for each day, week, or month, with the number of submissions. If Stack by form is on, the file also has one column for each form in the chart.

  3. To download the table on the open tab, click Download table. The file has the rows of the table, with the number of submissions for each row.

Notes

  • If Booking Form Submissions is gray in the Reports menu, your company does not have booking forms, or your user group does not have access to the report. To turn on booking forms, ask PaxFlow support. To get access, ask an admin in your company to change your user group in Settings > User groups.

  • To give a user group access, go to Settings > User groups. In the Sections list of the group, open Reports and select The booking form submissions report.

  • Submissions count towards your plan quota. See Subscription & Billing and Add-ons.

  • If you delete a booking form, its submissions stay in the report. The form also stays in the Booking form filter.

  • The report uses your company time zone for all dates.
