Pax list report

How to view, filter, sort, save, download and print the pax on the departures of one day.

The Pax list report shows all pax on the departures of one day in one table. Office staff and dispatchers use it to check the day's pax and to download or print the list.

Open the Pax list report

  1. Go to Reports > Pax list.

The report shows the pax for today. Each row is one booking on a departure.

What the report shows

Above the table, the report shows the number of departures and rows, for example 12 departures, 48 pax rows. With the Standard columns list, the table has these columns:

  • Departure ID: the ID of the departure.

  • Date and Start time: the date and the start time of the departure.

  • Tour title: the name of the product.

  • Reference: the booking reference.

  • Customer name: the name of the customer who made the booking.

  • Pax: the number of pax in the booking.

  • Adult, Child, and Infant: the number of pax in the ticket categories with these names.

  • Phone number: the phone number of the customer.

  • Pickup place: the pickup place of the booking. If the booking has no pickup, the column shows Meet on location.

  • Status: the status of the booking.

The last row, Total, shows the total pax of all rows in the table. The report also shows cancelled bookings. Look at the Status column to find them.

Select the date

  1. Click the date next to the Pax list title.

  2. Select a day in the calendar. The table shows the pax for that day.

To get the latest bookings, click Refresh.

Filter the departures

  1. To find a product, enter a product name or a product code in the Filter departures... box.

  2. To show only some departures, click Product, Time, Status, Language, Location, Resource, or Staff. Then select one or more options.

  3. To show only departures with a last-minute booking, select Last-minute.

  4. To hide the departures that already started today, select Upcoming only. This checkbox shows only when the selected date is today.

The table updates to show the departures that match. The Status filter uses the status of the departure, for example Confirmed or Cancelled. When you select a resource or a staff member, the table shows only the pax that are assigned to that resource or staff member.

If no departure matches, the report shows No departures match the current filters. To remove all filters, click Reset.

Sort and move the columns

  1. To sort the table, click a column header. To sort in the opposite order, click the same header again.

  2. To move a column, drag the dots icon to the left of the column name.

After a change, Reset columns and sort shows above the table. Click it to go back to the columns and the sort of the selected list. PaxFlow does not keep these changes. To keep them, save a pax list.

Use a saved pax list

  1. Click the list dropdown next to Refresh.

  2. Select a list. Standard columns is the list that PaxFlow supplies. My configs holds your own lists. Company configs holds the lists for all users in your company.

The table shows the columns and the sort of the list. Your default list has (Default) after its name. The report opens with your default list. If you have no default list, it opens with the company default list or with Standard columns.

A list can include only some booking statuses. Then its name ends with these statuses, for example Morning list - Arrived only.

When you select a different list, the report removes your changes to the columns and the sort. The dropdown is not available when there are no saved lists.

Save a pax list

  1. Set the columns and the sort that you want.

  2. Click Save pax list.

  3. Enter a name for the list.

  4. To open the report with this list each time, select Set as default config.

  5. To share the list with all users in your company, select Set as company config. Only admins see this checkbox.

  6. Click Save. The report shows the new list.

Open the booking, product, or departure of a row

  1. In the row, click the gear icon.

  2. Click View Booking, View Product Settings, View Departure, or Open on PaxPortal. Open on PaxPortal opens the booking in a new tab.

Export or print the report

  1. Set the date, the filters, and the columns.

  2. Click Download CSV or Download Excel. To print the list, click Print.

The file has the same rows, columns, and sort as the table, and a total row at the end. The printout has the title Pax List report and the date. The buttons are not available when the table is empty.

If the list is too large for one Excel file, a message tells you. Remove columns or select filters, then try again.

Notes

  • If Pax list is gray in the Reports menu, your company does not have departures in PaxFlow, or your user group does not have access to the report. To get access, ask an admin in your company to change your user group in Settings > User groups.

  • Some users can see only the departures that they are assigned to. If the report shows You do not have access to view schedules. Contact an administrator., ask an admin in your company for access.

  • To rename, duplicate, delete, or change a saved list, go to Settings > Operations and click the Pax List tab. See Pax List settings.
