Ticket scanner in Enroute

Scan tickets to check pax in on a departure, undo a scan, and see the boarding log.

In Enroute, the ticket scanner checks pax in on a departure when you scan their tickets with the camera of your phone. Guides and drivers use it when guests board.

Open the ticket scanner

  1. In Enroute, tap Scanner at the bottom of the screen. You can also go to Enroute > Ticket scanner in the menu. The Scanner settings panel opens.

Choose the departure

  1. In Scanner settings, make sure that the date is correct. To change the day, tap the arrow icons next to the date. To select a day in a calendar, tap the date.

  2. Under Mark as, select Arrived or Dropped off. Each scan gives the booking this status. Arrived is selected when the panel opens.

  3. Tap the departure. To find a departure, enter its name in Search departures. The list shows the departures on this date that have pax. Each row shows the start time and how many pax have the status already.

  4. If the departure has vehicles, the Choose a vehicle list opens. Tap the vehicle that you board, or tap No vehicle.

  5. Tap Start scanning. The camera opens. The top of the screen shows the departure and how many pax are checked in.

If the departure has no vehicles, the camera opens when you tap the departure. To change the departure or the vehicle later, tap the departure name at the top of the screen.

Scan tickets

  1. Hold the code on the ticket inside the square on the screen. The scanner reads the code automatically.

  2. Look at the result. When the check-in is done, a green bar shows the passenger name and the number of pax on the booking.

  3. Scan the next ticket. The camera stays open between scans.

One scan checks in all pax on the booking. To scan in low light, tap the flashlight icon. You can also use a handheld barcode scanner that is connected to the device. For the codes that the scanner can read, see Supported ticket formats in the ticket scanner.

What the scan result shows

  • A green bar: the booking is checked in.

  • Already checked in or Already dropped off: the booking has this status already. Tap Continue scanning.

  • Ticket not found: no booking matches the code. The screen shows the code that the scanner read.

  • Ticket is for another departure: the booking is on a different departure.

  • Could not check in or Could not assign vehicle: PaxFlow could not save the change.

On a red screen, tap Search by name to find the booking, or tap Scan again.

Find a booking by name or code

  1. Tap Find booking.

  2. In Booking code or passenger name, enter at least 2 characters. The list shows the matching bookings, with the number of pax and the status.

  3. Tap the booking. The scanner checks in the booking in the same way as a scan.

Choose a vehicle when there is a conflict

If you scan with a vehicle selected, the scanner can stop the check-in. Already on another vehicle shows when the booking is on a different vehicle. No room on and the vehicle name show when the vehicle does not have enough seats.

  1. Tap Choose a vehicle. The list shows how many pax each vehicle will have.

  2. Tap a vehicle.

  3. Tap the check-in button. The button shows the vehicle name, for example Move to, the vehicle name, and and check in.

To stop the check-in, tap the X icon. The booking is not checked in.

Help a passenger fill in forms

If a required booking form is not filled in, the scanner shows Forms not filled in and does not check in the booking.

  1. Ask the passenger to scan the QR code on the screen. The code opens the forms on the phone of the passenger.

  2. If the passenger cannot scan the code, tap Send link by SMS. This button works only when the booking has a phone number.

  3. When the passenger has filled in the forms, scan the ticket again.

To stop, tap Cancel scan.

Check the boarding log

  1. Tap the counter in the top-right corner of the scanner. The Boarding log opens. Each row shows the time, the staff member, the booking, the pax, the vehicle, and the status change.

  2. To filter the list, tap All, Mine, a vehicle name, or Problems. Problems shows the scans that did not check in a booking, for example Not found.

Undo a scan

  1. Open the Boarding log.

  2. Find your scan.

  3. Tap Undo. The booking gets its previous status and vehicle again. The message Scan undone shows.

You can undo only your own scans. You cannot undo a scan after a different change to the same booking.

Open the Boarding tab on a departure

The Boarding tab shows the same log for one departure. You can undo your own scans there too.

  1. In Enroute, tap Schedule at the bottom of the screen.

  2. Tap the departure.

  3. Tap Boarding.

Finish scanning

  1. Tap Finish. The End scanning panel shows how many pax are checked in.

  2. To mark the pax who did not check in as no-show, select the checkbox Mark the remaining passengers as no-show. The text shows the number of pax.

  3. Tap Finish. If you selected the checkbox, a dialog asks you to confirm.

  4. To confirm, tap Mark and the number of pax as no-show.

Note: You cannot undo the no-show status in the scanner. After you finish scanning, you cannot undo scans on this departure.

Notes

  • If Ticket scanner is gray in the Enroute menu, your company does not have the ticket scanner, or your user group does not have access. To turn on the ticket scanner, ask PaxFlow support. To get access, ask an admin in your company to change your user group in Settings > User groups. The access setting is Enroute > Ticket scanner.

  • If you open the scanner again on the same day, it continues your last scanning session. To end the session, tap Finish.

  • If the camera does not start, tap Retry. You can also use Find booking without the camera.

  • If a scan takes a long time, tap Stop waiting.

  • To turn the scan sound on or off, tap the speaker icon. On some phones, you can also turn vibration on or off.

  • The scanner does not find cancelled bookings.

  • You cannot undo a scan after the departure day, or when all pax have a final status: arrived, dropped off, or no-show.
