Report an incident in Enroute

Report a problem with a vehicle, a guest, or staff on a departure, and add photos from your phone.

In Enroute, you can report an incident on a departure, for example a problem with a vehicle or a guest. Guides and drivers report incidents during a tour, and the office sees them in PaxAdmin.

Open the Incidents tab

  1. In Enroute, tap Schedule at the bottom of the screen.

  2. Tap the departure. The departure opens on the Passengers tab.

  3. Tap Incidents. The tab shows the incidents that staff reported on this departure. The newest incident is at the top.

If a departure has incidents, the Incidents tab shows the number of incidents.

Report an incident

  1. On the Incidents tab, tap Report incident at the bottom of the screen. The Report incident form opens.

  2. Tap the category of the incident: Vehicle, Guest, Staff, or Other. When the form opens, Vehicle is selected.

  3. To link the incident to one vehicle, guest, or staff member on this departure, select it in the list below the categories. This step is optional. The Other category has no list.

  4. In the What happened? box, enter a description of the incident.

  5. To add a photo, tap Add photos. The camera of your phone opens. Take the photo. To add more photos, tap Add photos again. To remove a photo before you send the report, tap the photo.

  6. Tap Report incident. The app shows Incident reported, and the incident shows at the top of the list.

Report incident stays gray until you enter a description.

Look at an incident

Each incident in the list shows these details:

  • The category, and the date and time of the report.

  • The description.

  • The name of the person who reported the incident, after Reported by.

  • The photos. To open a photo, tap it.

See incidents in PaxAdmin

In PaxAdmin, the office can see incidents in these places:

  • Reports > Incidents shows the incidents on all departures. See Incidents report.

  • In Operations > Departures, a departure with incidents shows a warning triangle and the number of incidents. Click the triangle to open the Incidents tab of the departure. In PaxAdmin, this tab shows the incidents but has no Report incident button.

Notes

  • If Schedule is gray in the Enroute menu, your company does not have Enroute, or your user group does not have access to the schedule. To turn on Enroute, ask PaxFlow support. To get access, ask an admin in your company to change your user group in Settings > User groups.

  • You can report incidents only on a single departure. On a departure group, the Incidents tab is gray. A pickup has no Incidents tab.

  • Everyone who can open a departure in Enroute sees all the incidents on it. By default, only Admins, Owners, and the staff assigned to the departure can open it. To let a user group open all departures, an admin selects the group in Settings > Enroute settings > Schedule Visibility. See Enroute settings.

  • After you report an incident, you cannot change it, delete it, or add photos to it.

  • You can add only image files. Each photo must be smaller than 10 MB.

  • If a photo does not upload, the app shows Incident reported, but some photos failed to attach. PaxFlow saves the incident without that photo.

  • You can also report incidents on a computer. Go to Enroute > Schedule and click the departure.
