Pickups: how pickup planning works in PaxFlow
Pickups is where you plan how guests get from their hotel or bus stop to their tour. You plan each pickup run in PaxFlow, and PaxFlow keeps it up to date as bookings arrive and tour buses change.
The building blocks
Pickup group: the tour start times whose guests are picked up together, for example all morning tours from Reykjavik hotels. You set these up once, under Settings.
Pickup: one pickup run for a pickup group on a date. It has a name, a time window, a status and its guests.
Pickup vehicle: a bus or van that drives the pickup, with its driver and guides.
Stop: a pickup location, such as a hotel or a bus stop. You put a stop on a vehicle and every guest at that stop goes with it.
How a typical day works
Open Operations → Pickups. PaxFlow creates a pickup for every pickup group that has bookings that day.
If the group uses its tour vehicles, the tour buses and their crews are already on the pickup.
Put the stops on vehicles and set the route order.
Drivers see their pickup in Enroute and mark guests as arrived.
Bookings that come in later join the pickup on their own.
Where pickups show up

Pickups don't show in the departure calendar or in daily departures. Those stay about tours.
Who can plan pickups
Planning pickups needs the same permission as editing resource assignments. No extra role setup is needed.
