What happens when a booking comes in after planning
Guests keep booking after you've planned the pickup. PaxFlow adds each new booking to its pickup on its own, and places it on a vehicle when the choice is clear.
New bookings
A new booking with a pickup location joins the pickup for its group and date. It is then placed like this:
If one vehicle already serves the booking's stop and has room, the booking goes on it.
If several vehicles serve the stop, it goes on the guest's own tour bus if that bus has room. Otherwise it goes on the only serving vehicle with room.
If the pickup has a single vehicle, the booking goes on it, and the stop is added to the end of its route if it wasn't there.
In any other case the booking is flagged for you to decide.
Bookings made shortly before the tour are marked Last minute in the planner.
Flagged bookings
A flagged booking is in the pickup but needs a decision, for example because its bus is full or no vehicle serves its stop yet.
When a booking would overfill a vehicle, PaxFlow also records an overbooked-vehicle notification for your team.
To resolve a flag, open the stop and put the booking on a vehicle with room. The flag clears.
Changed and cancelled bookings
A cancelled booking leaves the pickup and its vehicle.
A booking that moves to another date or tour leaves its old pickup and joins the matching one.
A booking whose pickup location changes to a stop its vehicle doesn't serve is taken off the vehicle and flagged.
Guests you added by hand, from another group or without a pickup location, are left where you put them.
Finished and cancelled pickups don't take new bookings. They keep their guests as a record.
