How to add vehicles and drivers to a pickup

A pickup vehicle is a bus or van that drives the pickup. It can come from a tour automatically, or you can add it yourself.

Vehicles from tours

If the pickup group has Use tour vehicles as pickup vehicles switched on, the buses on the group's tours are added to the pickup automatically. They're marked From tour.

  • Each bus's pickup window ends when its own tour starts, so the pickup and the tour sit back to back.

  • The tour's crew come with the bus. Everyone staffed on the tour bus, drivers and guides, is on the pickup vehicle too, on the same shift. Nobody gets a second shift.

When a tour changes bus

Swap the bus on the tour as you normally would. The pickup vehicle moves to the new bus, with the same guests and the same route. You don't need to change anything in the planner.

If a bus is taken off the tour altogether:

  • If nothing was planned on its pickup vehicle yet, PaxFlow removes it.

  • If guests or stops are already on it, it stays and is marked Not on tour any more. Move its guests or remove it yourself.

If you remove a tour vehicle from a pickup yourself, PaxFlow does not add it back.

Sometimes a tour bus can't be added, for example when its tour starts before the pickup window. The pickup card then lists the bus and the reason under its vehicles.

Add a vehicle yourself

Add extra vehicles when you need more seats, or a smaller vehicle for narrow streets.

  1. On the pickup card, open the Add vehicle menu and choose the bus or van.

  2. Add a driver to it.

When a pickup is too big

If a pickup has more guests or stops than its vehicles can take, add another vehicle and divide the stops between them. You don't need a second pickup.

  1. Add a vehicle as described above.

  2. In the locations table, tick the stops the new vehicle should take and choose it from the menu above the table.

  3. Check the seat count on each vehicle, then set each vehicle's route order.

If one vehicle needs to start earlier or later than the others, give it its own window.

Double bookings

If a vehicle is already booked during the pickup window, PaxFlow warns you before adding it. Cancel and pick another vehicle, or confirm if you know it's fine.

A pickup that ends exactly when the tour starts is not a double booking. The same bus can do the pickup and then the tour.

A vehicle with its own window

A vehicle can have a different window from the pickup. It keeps that window when you move the pickup's window, and the planner marks it Own window.

Pickups in the resource calendar

Pickup vehicles show in the resource calendar in purple, next to the tours. You can see at a glance that a bus does its pickup and then its tour.
