How to plan a day in the Pickup planner
The Pickup planner shows every pickup for one day, grouped by pickup group. You rarely start from an empty page: PaxFlow creates the day's pickups for you.
Open the planner
Go to Operations → Pickups and make sure the Pickup planner tab is selected. The planner opens on today.
Use the arrows next to the date to move between days.
Pickups are created for you
When you open a day, PaxFlow creates a pickup for every active pickup group that has bookings with a pickup location that day. Each pickup starts with those guests in it.
Bookings without a pickup location are not added automatically. Add them by hand with Add passengers.
If you delete a pickup, PaxFlow does not create it again for that day.
Past days are left as they were.
Check the time window
Each pickup has a time window. PaxFlow suggests it from the earliest guest pickup time to the latest tour start. Vehicles on the pickup use this window unless you give them their own.
Edit a pickup
Click the pencil icon next to the pickup's name.
Change the name, the time window, the internal note for your team, or the pickup group.
Click Save.
When you move the window, the vehicles move with it. A vehicle that came from a tour still ends when its tour starts. If a vehicle is already booked in the new window, PaxFlow warns you before saving.
Set the status
Set the status by hand as the morning goes: Planned, Confirmed, Started, Finished or Cancelled. A finished or cancelled pickup no longer takes new bookings.
Create a pickup by hand
Click Create pickup on a pickup group to add a pickup yourself, for example to bring back one you deleted. PaxFlow suggests a window you can change. If a pickup is too big for its vehicles, add a vehicle instead of creating a second pickup.
Other pickups
A pickup with no group, or whose group is inactive, shows under Other pickups at the bottom of the planner. You can still edit it, or move it back into a group.
Delete a pickup
Click the bin icon on the pickup card and confirm with Delete. Its vehicles and guests are released.
