The Departure List is a comprehensive overview of the departures of the day, ensuring you don't overlook anything crucial regarding your operation. Below you can find easy follow along steps on how to use the Departure List, from sorting passenger details to organizing logistics.

Accessing Departure list

On the dashboard click "Departures" and then click on "Daily Departures"

Then you should see the departures overview for the day. You can select a specific date you want to see by clicking on the date field.

You can also search for a specific Product,

Departure (start time) or

by departure status.

It´s also possible to search for individual tours by typing the product name or the product code in the search box. For instance, if you type "golden" you get only the Golden Circle tour at 09:00 which includes golden in the name of the tour.

Lastly you can click the checkbox by "Only show upcoming departures" to view only upcoming departures of the day.

Departure list features

Each departure is categorized by Product code, Product title, Passengers, Notes, Status, Resource and Actions. Let´s open up one departure.

The departure is categorized by Pickup Place, Pax Reference, Customer, Notes, Seller, Booking Forms, Payment, Resource, Status and Actions.

For each departure you can see the total number of passengers and next to it is the total number of different ticket types, for example total number of adults and total number of children.

You can also see if passengers have signed the booking forms added to the product, red booking forms are unsigned, green are signed. Click on the booking Form to view the answers.

Click on the drop down to view the answers and the "X" to close the preview of the booking form.

You can also assign a resource to the tour from the departure overview. Click on the Resource drop down and choose a resource.

There is also an Actions drop down where you can View Departure, View Product Settings, Change Status, Open Ticket Scanner Download Booking Form responses and Send Message.

If you click on View Departure it will open up the passenger list. On the passenger list view you can see the start time, total pax number, total number of passengers that need to be picked up, total number of passengers that will arrive on location and how many passengers have been marked arrived/no show. You can also quicky book another passenger in the passenger list overview by clicking the "Add new Booking"


Change Departure Status

Let´s change the status of the departure, click on "Change Status"

Choose the status you want to change to.

By checking the box for "Notify Customers Manually" you can send an E-mail or SMS on the entire departure.

Once you have selected a template click on "Modify message" to continue.

Now you can modify the template if needed - if not click on "Review Recipients & Send"

To send the message and change the departure status click on "Review Recipients & Send"

And then you have successfully changed the status.

Send Message

It´s also possible to Send Message to all passengers by clicking on "Send Message" and choose E-mail or SMS. The same procedure applies here, select template, adjust it and send.

Download Booking Form responses.

If there is a booking form assigned to the product you can download all booking form answers by clicking on "Actions" and "Download booking form responses" and choose the booking form you want to download.

Ticket Scanner

You can also access our Ticket Scanner from the departure list, simply click on "Open Ticket Scanner"

If you have assigned a resource to the tour you can select it in the resources dropdown.

And then you can start scanning with the Ticket Scanner.

View Product Settings

You can easily go to the Product settings for each departure by clicking "Actions" and click on "View Product Settings"

And in the Product Settings you can adjust all settings as needed.
