Departures Passenger List.
From the Passenger Lists, you can easily make changes like updating tour status, send messages or open PaxPortal. Let’s dive into the different options and see how these changes can improve the passenger experience and streamline your operations.
Accessing departures
Click on "Operations" and then click on "Departures"
Click on the arrow on the far left of the tour details to open up the passenger list.

You can also open it under Actions drop down by clicking on View Departure and it will open up the passenger list.
Here you can see the opened up the Passenger List. The overview shows the Product name,date, start time, total pax number,arrival status, Resources assigned and status of the tour.
Then there are tabs with the Passenger list, Assignments on the tour, Notes, Chat (WhatsApp chat) Sent Messages, Documents and Overview. Let's take a look at Assignments by clicking on the "Assignments" tab
You can click on the arrow highlighted to expand the assignment template.
And then you can see that the assignment template is filled out, you can also click on "Overview" to see the overview of the tour
And then you can see the overview of this tour, including the utilization based on the recourse assigned on the tour. Next let's click on "Notes"
Here we can see all notes added to the tour, status note, internal note and departure note. Next lets click on "Chat"
If you have an active WhatsApp subscription you will have access to the WhatsApp chat. If a customer replies to the sent out WhatsApp messages then a WhatsApp chat window is created and you have a 24 hour chat window with that customer. Here you would only see chats related to this departure. Next let´s click on "Sent Messages"
Here is an overview of the sent out messages to this departure, if you click on the arrow highlighted it expands the list of sent out messages.
Then you can see recipient, status of the message - here it is delivered, delivered time, actual sending time and you can view the message. Next lets click on "Documents"
Here you can see all files uploaded to this product. You can always add files by clicking on "Upload File"
then a pop up opens up where you can add the file, choose if you are going to upload the file to the departure or an assignment and if the visibility is for Operations or PaxPortal
once you have added the file and selected the "Upload to" and "Visibility" click on "Upload"
A pop up opens up asking you if you want to make it public, click on "Yes, Make Public"
A successes message appears at the top and then you can see the new file on the departure. You can always view the file by clicking on the eye symbol highlighted.
next let´s click on "Overview"
There you will see the Tour Details, Assigned resources and Payment summary. Click on "Passengers" to go back to the passenger list.
Sending an Email from the passenger list view
By clicking on the e-mail icon on the passenger list you can send and e-mail to individual passengers.
Choose the template you want to send, click on "Modify message"
You can adjust the template if needed and click on "Review Recipients & Send"
In the final step you can send your E-mail.
A successes message appears and you have sent out the email. You can click on "View logs" to see the Sent messages log.
Adding notes on a activity level
You can also see if there are any notes on the booking if it's highlighted blue. You can also add a note by clicking on the Notes icon on the passenger list by the activity you want to add it to.
Then a pop up window opens up. There you can see Activity notes - that are imported from Bokun, Internal Notes - notes that only staff can view and Passenger Note - this note is only for this passenger and can be viewed on their PaxPortal. Let´s add a passenger note.
Type in your note in the text field and then click on "Save"
Assigning a resource on a activity level
Click the checkboxes by the pickup place to select passengers for the resource, you can also select all passengers by clicking the top checkbox.
And click the "select resource to assign" drop down and choose a resource.
And click on the highlighted plus to assign the resource to the selected locations
And then you have successfully added a resource to the passenger list.
Adding a new booking from departure details
To quickly create a new booking click the dropdown for "Create Booking"
Fill in the information needed for the booking, how many passengers, first name, last name, email, payment and payment status and click on "Create"
a success message appears "New Booking successfully created". To close the add booking view, click on it again.
Click on "Create Booking" to close the quick booking field
and then you can see your new booking at the bottom of the page.
Status of Passengers
You can click the drop down under status to view the status of the passenger. Passengers can be "Confirmed", "Arrived" "No Show" or "Dropped Off". You can also mark the passenger for instance arrived by clicking on it.
Opening booking on PaxPortal
Under "Actions" you can Send Message to the passenger, view Notes, View Booking, Open in Bokun and Open on PaxPortal. Let's open this booking on PaxPortal by clicking on "Open on Paxportal"
A new window opens up and you can see the customer view of the PaxPortal. Highlighted is the tour file we added earlier.
Opening Passengers booking details on daily departures.
You can take look at passengers bookings by clicking the Reference number.
Here you can see all information about the passengers booking, you can Cancel Activity, Reschedule Activity or Send Ticket on the right hand side of the screen or Send SMS, Send E-mail, Send WhatsApp or Edit Pax Details on the bottom left of the screen.
Click on "Message Log" to view the tab.
Under "message logs" we can see all the messages that have been sent to this passenger. Click on "Booking forms" to view the tab
Under "booking forms" we can see all booking forms attached to this passenger and the status of them - if they are singed and view how they have been signed. Click on "Notes" to view that tab
Under Notes are Activity notes - that are imported from Bokun, Internal Notes - notes that only staff can view and Passenger Note - this note is only for this passenger and can be viewed on their PaxPortal. Click on "Files" to view that tab.
under files you can attach a file on a passenger/activity level - tickets for the passenger, their personal itinerary, photos from the tour - any file you want to add on a activity level. to do so click on "Upload File"
then a pop up opens up where you can add the file, choose if you are going to upload the file to the departure or an assignment and if the visibility is for Operations or PaxPortal
add the file and we want this file to be only visible for this booking, so we click the checkbox by "PaxPortal"
and then click on "Upload"
A pop up opens up asking you if you want to make it public, click on "Yes, Make Public"
A success message appears at the top and you have added the file on a "Activity" level for only this booking.
You can access the Paxportal by clicking "Open on Paxportal"
Then you should have successfully opened the passenger view of the PaxPortal and if you scroll down
you can see the file we just added.
