Passenger lists (pax list)

Daily departures Passenger List.

From the Passenger Lists, you can easily make changes like updating tour status, send messages or open PaxPortal. Let’s dive into the different options and see how these changes can improve the passenger experience and streamline your operations.

Accessing Daily Departures

On the dashboard click "Departures" and then click on "Daily Departures"

Click on the plus sign on the far left of the tour details to open up the passenger list.

You can also open it under Actions drop down by clicking on View Departure and it will open up the passenger list.

Here you can see the opened up the Passenger List. The overview shows the start time, total passengers, passengers that need to be picked up, meet on location passengers, resource capacity (if one is assigned) and arrived passengers.

there are also tabs for summary, messages. notes and file - on a departure level. Lets take a look at messages.

Here we can see all the messages that have been sent to anyone in this departure - both messages that are sent to the entire departure or to individual passengers. Click on "Notes" to view departure notes.

Notes can be internal notes (only for staff to see) or departure notes (that appear on PaxPortal). Click on "Files" to view the departure files.

There are no files added to this departure, you can do so by clicking on "upload file" to go to the main view of the passenger list click on "Summary"

Under "Actions" you will find Notes, Send messages, Change Status, Open Ticket Scanner, Export responses, View Product Settings, View Booking Forms and Print Paxlist.

Sending an Email from the passenger list view

By clicking on the e-mail icon on the passenger list you can send and e-mail to individual passengers.

Choose the template you want to send, click on "Modify message"

You can adjust the template if needed and click on "Review Recipients & Send"

In the final step you can send your E-mail.

Adding notes on a activity level

You can also see if there are any notes on the booking by clicking on the Notes icon on the passenger list.

Then a pop up window opens up. There you can see Activity notes - that are imported from Bokun, Internal Notes - notes that only staff can view and Passenger Note - this note is only for this passenger and can be viewed on their PaxPortal.

Here we have added a tailored pickup note for this booking - make sure to click on "Save".

Assigning a resource on a departure level

You can also assign a resource to the departure by clicking on the "Select resource to assign" and choose the resource you want to assign.

A success message appears and you have assigned the resource on the departure.

Assigning a resource on a activity level

When you click on "Pickup Place" you can sort the pickup places together

Click the checkboxes by the pickup place to select passengers for the resource, you can also select all passengers by clicking the top checkbox.

And click the "select resource to assign" drop down and choose a resource.

And click on the highlighted plus to assign the resource to the selected locations

And then you have successfully added a resource to the passenger list.

Adding a new booking from departure details

To quickly create a new booking click the dropdown for "Add New Booking"

Fill in the information needed for the booking, how many passengers, first name, last name, email, payment and payment status and click on "Create"

a success message appears "New Booking successfully created". To close the add booking view, click on it again.

and then you can see your new booking at the top of the page.

Status of Passengers

You can click the drop down under status to view the status of the passenger. Passengers can be "Confirmed", "Arrived" "No Show" or "Dropped Off". You can also mark the passenger for instance arrived by clicking on it.

Opening booking on PaxPortal

Under "Actions" you can View Booking, Open in Bokun, Open on PaxPortal, view Notes or Send Message to the passenger. Let's open this booking on PaxPortal by clicking on "Open on Paxportal"

A new window opens up and you can see the customer view of the PaxPortal. Highlighted is the note we added earlier.

You can take look at passengers bookings by clicking the Reference number.

Here you can see all information about the passengers booking, you can Cancel Activity, Reschedule Activity or Send Ticket on the right hand side of the screen or Send SMS, Send E-mail, Send WhatsApp or Edit Pax Details on the bottom left of the screen.

Under "message logs" we can see all the messages that have been sent to this passenger.

Under "booking forms" we can see all booking forms attached to this passenger and the status of them - if they are singed and view how they have been signed.

Under Notes are Activity notes - that are imported from Bokun, Internal Notes - notes that only staff can view and Passenger Note - this note is only for this passenger and can be viewed on their PaxPortal.

under files you can attach a file on a passenger/activity level - tickets for the passenger, their personal itinerary, photos from the tour - any file you want to add on a activity level.

when you click on "Upload File" you can add the file and it can be visible to operations or on PaxPortal.

you can always view the file added on the activity under the files tab.

You can access the Paxportal by clicking "Open on Paxportal"

Then you should have successfully opened the passenger PaxPortal and you can see the file we added earlier.
