Adding files to a passenger

Keep important passenger documents easily accessible within the booking. Upload files like tickets, waivers, travel information, or other tour-related documents and choose whether they should be visible to your operations team or directly to guests through PaxPortal. This helps create a smoother experience for both staff and passengers before the tour.

​Accessing departures

Start off by clicking on "Operations" and then click on "Departures"

Open up the departure you want to add a passenger file on by clicking on the highlighted arrow

then click on the booking reference on the passenger you want to add the file to

Adding a file on a passenger level

then you access the booking details, to add a file, click on "Files"

Click on the "Upload File" button to add the file

then a pop up window opens up, click on "Click to select a file" then a upload window will open up where you can choose files from your computer

once you have uploaded the file you can choose if you want it visible to operations (staff only) or on PaxPortal (guest only)

we added this file to be visible on PaxPortal. If you want to add a description to the file upload you can type it in the "Description (optional)" field.

once you have added the file, chosen where it should be visible and added a description, you can click on "Upload"

a pop up window opens up asking if you want to make the file public, click on "Yes, Make Public" to save the file.

Viewing the added file

a success message appears at the top of the page and you can see that this file is marked under scope as a activity file - that means it's only visible to this passenger on PaxPortal.

if you click on the three dots highlighted you can preview, download, edit or delete the file.

Viewing the file on PaxPortal

let´s take a look at what the passenger view, to do that click on "Open on PaxPortal"

and then you can see the file under "Booking files"

and the passenger can view the file by clicking on the eye icon or download it by clicking on the download icon. Let´s view the file by clicking on the eye icon.

then the file opens up, click on the "X" to close it
